TERMS & CONDITIONS FOR ONE LIFE JOURNEYS FZCO

The following booking conditions set out the Terms and Conditions of the contract between you and all persons named in the booking (referred to as “you”) and One Life Journeys (referred to as “One Life”, “we”, “us”, and “our”). The booking entails the acceptance of our Terms & Conditions without the need of a signed contract agreement. A contract will exist as soon as we take a deposit (or full payment, where applicable) and issue a confirmation invoice. The “tour package” refers to the duration between when you are picked up from an agreed location before the beginning of the tour and dropped off to an agreed location at the end of the tour.

Guarantee and Payment Policy

  • non-refundabledeposit[1] of 40% (with a minimum of AED 4000 or Eur 1.000), of total amount of the quote, is required upon reservation, for bookings at least 90 days prior departure.
  • Full Payment in any case is due 75 days prior departure, unless differently specified for specific private tours.
  • We reserve the right to cancel the booking of the tour if full payment has not been received within due date.
  • Tour prices are normally quoted and invoiced in AED (UAE Dirhams), unless differently requested by the client, they can be quoted in USD (US Dollars), or EUR (Euro).
  • Only bookings with complete payments will receive confirmation and all related travel documents (Hotel details, driver contacts, guides names, local providers and so on). For fixed departure group tours: All pertinent travel information will be provided not before 30 days from departure date. For private and customized tours: All pertinent travel information will be provided not before 15 days from departure date.
  • For all payments processed by wire transfer, all banking fees will be paid by the client to be sure the exact amount will be credited, and payment currency may be alternatively AED (UAE Dirhams), USD (US Dollars) or EUR (Euro) depending upon the client’s preference.
  • For all payment by credit card, client will be charged a 4% processing fee and the online payments will be processed always in AED (UAE Dirhams).
  • Quoted tour prices include planning and operational charges and are based on current rates of exchange, tariffs, and taxes; we reserve the right to increase tour prices to cover increased costs, tariffs, and taxes, and to reflect fluctuations in foreign exchange rates.
  • Quotations and Terms & Conditions are considered accepted upon payment of deposit; therefore, they are not discussable or subject to review at any later time.
  • Please note that for tour and services packages, we do not provide any breakdown of single costs but only the total amount of package.

 

Cancellations

Deposits:

In the event of tour cancellation by One Life Journeys due to lack of minimum participants (or due to any other reason), deposits can be transferred to another trip or will be refunded in full.  In the event of tour postponement due to emergency, wars, safety reasons, health reasons including country closures due to Covid-19, or any other reason of force majeure[2] you can rebook for the new tour dates or on another trip of your choice or we will issue you a voucher (valid for 12 months) to be used towards future travel. Otherwise, all deposits are non-refundable.

We highly recommend you purchase a trip cancellation insurance to cover the risk of running into unpredictable events.

 

 

 

Balance Payments:

Cancellation fees are as follows if the traveller decides to cancel the trip after the balance payment is made:

  • 75-31 days prior to departure – 60% of remaining balance
  • 30-16 days prior to departure – 75% of remaining balance
  • 15 days or less – 100% of tour cost

For any experiences or services booked in addition to the tour or out of an itinerary:

  • 75-31 days prior to departure – 50% of service cost per person
  • 30 days or less – 100% of service cost per person

For any booking related to Villas, Apartments, Castles and any venues different from hotels:

  • 75 days or less prior to departure – 100% of total cost of booking

In the event of tour postponement due to emergency, wars, safety reasons, health reasons including country closures due to Covid-19, or any other reason of force majeure after a balance payment is made, any non-refunded payments can be used towards the new tour dates or on another trip of your choice or we will issue you a voucher (valid for 12 months) to be used towards future travel.

Participant Conduct

  • One Life Journeys tours are created for active travellers who are capable of walking at least three miles a day at a leisurely and unassisted pace.
  • We recommend that our passengers pack as light as possible. Each guest should be able to handle their own luggage over short distances. Many properties used by One Life Journeys, such as ancient castles and country inns, do not have bellmen. Baggage and personal effects are at the owner’s risk throughout the tour. Check with your airline carrier for baggage restrictions applicable to your international flights.
  • Children under the age of 14 are not permitted except for private groups. Any individual under 18 must be accompanied by an adult unless otherwise approved by One Life Journeys management.
  • If your behavior or physical condition is detrimental to the safety, welfare, and well-being of the group, or if your general welfare and safety will be put at risk by continuing with the tour, you may be asked not to participate in the tour without the right to any refund of the price.
  • For the benefit of everyone, we reserve the right to remove any participant whose conduct is deemed to pose a risk to others. We will not refund or cover any cost or expenses incurred due to unacceptable behavior.
  • We will not provide any kind of transportation services to participants whose conduct leads to their removal from the tour.
  • You fully comprehend and accept all risks related to participation in the tours including, without limitation, injury or death resulting from exposure to unfavourable weather conditions, insect bites, wildlife risks, sports and activities, food sickness, allergic reactions, choking, and injuries arising from self-inflicted accidents or mishaps, other participants, motor vehicle, and pedestrians.
  • Alcohol beverages and any kind of drugs are not allowed to be consumed and carried during the tour.
  • Any equipment belonging to or rented by the company that is damaged in any form or lost by you will incur a charge of at least 400 AED or more in cash, payable immediately, depending on the situation assessed by tour guide or tour leader.
  • You are wholly responsible for your own personal belongings throughout the tour; all personal effects are always at your own risk during the tour, we are unable to claim responsibility for any belongings that may have been lost, stolen, or damaged during the tour.

 

Medical Conditions, Allergies and Dietary Restrictions

  • You are responsible for ensuring that you are mentally and physically capable of participating in the tour, a reasonable level of fitness is required to participate in the tours; you agree to comply with the instructions in English of the tour guides.
  • Trip members are held responsible for being in sufficient good health to undertake the trip.
  • Any pre-existing physical, mental or emotional disability that may require attention during a tour must be reported in writing before the beginning of the tour.
  • Any guests with mobility concerns will need to inform us at the time of the booking so we can verify if we can accommodate our booking and make the necessary arrangements. We reserve the right not to accept guests that have a disability on tours due a safety concern.
  • Each tour member is invited to complete and return our Medical Information Form, in case dietary restrictions, allergies, mobility concerns and other relevant medical conditions at the time of booking, might be applicable and relevant to the supplying of One Life Journeys
  • In case of extreme allergies or medical conditions not compliant with the type of the tour, we reserve the right to request you not to attend the tour or request you to bring your own food.
  • There is no guarantee of being able to fulfil any dietary restrictions, we will do our best to do that when suggesting restaurant options.
  • Depending on age children may be required to be seated in booster seats or other child safety accredited seating; in case of unavailability, we reserve the right to not accept children due safety concerns.
  • Vehicle may be equipped with dashcam technology that records high-definition sound and video, footage may be used for legal, insurance and training purposes and may be used to verify questions, complaints, queries, and concerns.

 

We highly recommend you purchase Health Insurance to cover the risk of injuries and any health issues that might occur during the trip.

 

Included in quoted tour price

Private transfers, airport transfers, accommodations, meals, sightseeing and entrance fees as per itinerary, local guides or driver/guide[3] services as applicable to each itinerary, tour leader if requested, travel and health insurance if requested (applicable only to UAE residents/citizens).

 

Not included in quoted tour prices

Travel and health cover Insurance, Airfare (unless specified), airport departure taxes (unless specified), excess baggage fees, costs of obtaining passports or visas, gratuities to One Life Journeys Tour Leader, local guides, trip’s main driver, personal expenses such as meals, beverages or sightseeing not included in the itinerary, communication charges, laundry.

 

Itineraries

Hotels, sightseeing, special events, and special hosts are subject to change due to unforeseen circumstances. One Life Journeys reserves the right to amend the order of sightseeing or make changes as each situation requires. Every effort will be made to operate tours as planned; however, alterations to itineraries may occur after the final itinerary is issued. Uncompleted portions of a tour itinerary are not cause for a refund if related to unforeseen circumstances beyond our control.

 

Accommodation

One Life Journeys usually provides four- or five-star hotels (unless differently specified or requested) or the best available accommodation in each country. All rooms have a private bath. The size of rooms may vary from country to country. Many properties provided by One Life Journeys, such as ancient castles, country inns, and quaint hotels may be family-run. In some ancient buildings, rooms may not have AC or elevator access.

 

Flight Reservations

Air Transportation is not included unless specified. All tour prices that include airfare are quoted with economy class seats (unless differently specified or requested). Should you cancel or change your air reservation before or after your departure, cancellation penalties different from the above stated may apply. Local Air reservations will not be confirmed until a copy of the passenger’s passport is received. In case flight tickets are not included in your quoted travel package, please wait until our minimum number of travellers has been met for your trip before buying your plane ticket. One Life Journeys will notify travellers once the minimum number has been met.

 

Travel Insurance

Since One Life Journeys is based and operating in Dubai, we can offer insurance plans only to UAE residents/citizens and upon request. Therefore, One Life Journey cannot provide any insurance to non-UAE residents/citizens.

We highly recommend our travellers to purchase Travel and Health Insurance in their home or residence country.

Why is travel insurance so important? In today’s changing travel environment, it’s important to protect your travel investment so you can relax and enjoy your trip. Unforeseen events such as flight delays, baggage loss or even a sudden sickness or injury could impact your travel plans.

 

Passports and Visas

Passports with at least six months of validity beyond the date of your trip are required for travel to destinations outside of your residence country; One Life Journeys don’t provide any service and assistance related visa requirements and processing.

Claims and Refunds

Except for verifiable extenuating circumstances, refunds are not made for any missed tour services. Please see our Limits on Responsibility. For verifiable claims to be considered, they must be received in writing within 30 days of the termination of the tour and be accompanied by supporting documentation and/or a statement from the Tour Operation Company verifying the claim. One Life Journeys will not accept any liability for any claims not received within 30 days of the termination of the tour in question.

Limits on Responsibility

One Life Journeys FZCO is a Limited Liability Company based in Dubai, UAE. It purchases transportation, hotel accommodations, restaurant and other services from various independent suppliers that are not subject to its control. One Life Journeys FZCO cannot, therefore, be liable for death, personal injury, sickness, accident, damage, or any other loss that may occur due to any act or omission of any such supplier, or by reason of any other event over which it has no control. All personal effects are always at your own risk during the tour, we are unable to claim responsibility for any belongings that may have been lost, stolen, or damaged during the tour.

One Life Journeys FZCO reserves the right to withdraw the tour or change departure date of a tour or any part of it, to make such alterations in the itinerary as it deems necessary, and to pass on to travellers any expenditures or losses caused by delays or events beyond our control; any change beyond our control does not provide any refund.

One Life Journeys FZCO reserves the right to decline to accept or to retain any person as a member of a tour, and to require a participant to withdraw from a tour at their own expense when such an action is determined by the tour staff to be in the interest of the participant’s health and safety and that of the tour group as a whole.

 

Image Rights Release

You hereby unconditionally and irrevocably consent, authorize and grant us and our affiliates, partner, advertiser, webcaster, agents, representatives, and assigns the “Releases” all necessary authority, right and license to use photographs, images audio or video recordings taken during the tours by us or tour participants in which you may be included in whole or in part, in any media including internet, direct marketing channels, social media channels, downloadable content and applications, and all other technologies now known and developed in the future. Images may be used for any commercial or non-commercial purpose and may be modified, changed, and combined into other works. You relinquish any rights you may have on the images (privacy, publicity, and personality rights). No fee or other compensation will be provided to you in connection with the use of the images. You hereby release the releases from all claims which you may now or in the future have relating to the ownership, reproduction, display distribution or other use of the images.

 

Law and Jurisdiction

Any dispute or claim arising out of or in connection with your booking with us shall be governed and construed in accordance with the laws of UAE.

By purchasing our tour package, you and your companions confirm that you have all fully understood and agree to these Terms and Conditions.
